Organization Admin Guide
Running CADCoPilot for your company: the org portal, AI keys, messaging channels, external connections and your knowledge base.
The org portal
Sign in at /org/login with your CADCoPilot account. Everyone sees their Chat History, Knowledge, My Memory and My AI Key; organization admins additionally get Messaging Channels, Connections and RAG Provider in the sidebar. If you should be an admin and don't see those pages, ask us to set your membership role.
Who pays for the AI — three options
- Platform models — you use the models we host and the usage appears on your bill. Nothing to configure.
- Company key (BYOK) — your organization brings one provider key that everyone uses; you pay the AI provider directly. Set up with us, or ask support to enable the tenant provider config.
- Personal keys — each user pastes their own key under My AI Key. This always wins over the other two for that user. Keys are encrypted and never shown again after saving.
Any current model works, including Claude, GPT, Gemini and Grok — a key from that provider is all that's needed.
Messaging channels
Channels let your users message their CAD workstation from Telegram, Microsoft Teams or WhatsApp. All channels are enabled by default for every company — a channel goes live the moment you save its credentials on Org portal → Messaging Channels:
- Telegram — message @BotFather in Telegram, send
/newbot, choose a name, and paste the token it gives you (123456:ABC-…). - Microsoft Teams — an IT admin registers an app in Microsoft Entra ID and creates an Azure Bot pointing at our server; you enter the app's client ID, tenant ID and secret. Users signed in with their work account are linked automatically.
- WhatsApp — a Twilio account with a WhatsApp-enabled number; you enter the Account SID, the number and the auth token, and point Twilio's inbound webhook at our server.

Connections — let CoPilot use your ERP, CRM or email
A connection is a named external system your users can drive from chat:
Set them up on Org portal → Connections. Pick a template — Dynamics 365 Business Central, SAP S/4HANA Cloud, ERPNext, Salesforce, HubSpot, Microsoft 365 mail, SendGrid, Postmark or generic REST — fill in your identifiers, and store the secret once. The secret is encrypted and only ever used on the server; it never reaches a user's PC. Step-by-step provider guides: Connections.
Knowledge base
The Knowledge page holds documents CoPilot can cite in answers — design guidelines, standards, part libraries. Users also index documents from the add-in with the Index Document button. On RAG Provider you can keep knowledge on our shared service or point it at a self-hosted server so documents never leave your infrastructure; the same page controls whether chat history is stored as long-term memory.
Watching usage
Each user sees their own consumption in the add-in's usage dialog. Ask us for an organization-level usage report; costs are computed from the providers' published per-model token prices.
Getting your team started
- Install the add-in for each CAD system (Getting Started).
- Decide the AI key model (platform, company key or personal keys).
- Save channel credentials so people can use Telegram/Teams/WhatsApp away from their desk.
- Connect your ERP/CRM/email if chat should reach them.
